1. Building healthy meeting habits

In this scenario, healthy habits are about certain behaviours that your attendees embrace when they walk in the door. Set clear ground rules that will keep your delegates engaged and focused during meetings.
One simple way to make your meeting environment more productive is to ban personal gadgets – no phones, tablets or laptops allowed! Have a designated box for devices to be placed in and go old school with pen and paper. If a delegate requires a laptop, turn on flight mode to avoid distracting pings. Other healthy meeting habits include practising the thoughtful pause, setting a clear agenda and appointing a timekeeper to keep your meeting on track.
2. Take a stand
If you’ve reached a road block in your meeting productivity, shake things up by asking your delegates to stand for a while. There’s a reason a daily ‘stand up’ is so revered in the tech world, it really does help delegates be more productive – by making them literally think on their feet!
A study by an American university found that this simple change helped people think more creatively and improve their problem-solving skills. Standing reduces the likelihood of multitasking by forcing delegates to focus and communicate more clearly. Plus, if you’re running low on time, stand-ups have been proven to reduce meeting times by 34%. How’s that for quick thinking?
3. Check your connection
These days everybody is time poor. Delegates expect meetings to be purposeful and efficient, which is why nothing is more frustrating than stuttering video or poor Wi-Fi. Good connectivity, in both AV and internet, is crucial to prevent time being wasted and guarantee that productivity will remain high throughout your meeting.
Prior to the meeting taking place, our Event Managers will work with you to ensure that everything you need to have a great meeting is in place. It’s good practice to have a checklist of everything you’ll need to run through beforehand and on the day to make sure your meeting will be as productive as possible. Correct HDMI cables? Check. WiFi up and running? Check. Any additional equipment you need such as smart board or audio conferencing? Check.
4. Play it cool
You’ve toiled through a productive morning and taken a break to enjoy lunch. Maybe it was the extra carbs you probably didn’t need, maybe you need another caffeine boost, whatever it is, you’re starting to flag as stage two of your meeting kicks off.
Perk up sleepy delegates with a temperature change. Facebook CEO Mark Zuckerberg is rumoured to prefer his meeting rooms so icy that attendees are forced to wear their finest winter coats. Extreme temperatures probably aren’t the way to go, but research has shown somewhere between 20 and 22 degrees Celsius is just right for peak productivity. If the room is too chilly, delegates are prone to making more mistakes.
5. Add a little greenery
Bring the great outdoors into your meeting room. A popular way of improving productivity is to add greenery to the room, be it a vase of flowers or a simple succulent. Research has shown bringing plants into your meeting environment can enhance attention capacity and increase productivity by up to 15%. Bloomin’ good news.
If transporting plant pots to your venue doesn’t sound appealing, ask your event manager if they can recommend a local florist or nursery to dress the room in advance. Not only do plants look good, but they have the added bonus of purifying the air and helping your delegates feel energised and alert by reducing carbon dioxide levels.
